Authorized Use

HVACtrack is owned and operated by Ciphered Realms, LLC and is intended for authorized business users only. Users may access the application solely for approved service management, scheduling, invoicing, warranty tracking, reporting, and support workflows.

Users are responsible for keeping credentials secure and for signing out on shared or unattended devices.

Acceptable Use

Users must not attempt to access accounts, records, systems, or data they are not authorized to use. Users must not interfere with application security, availability, data integrity, or normal business operations.

Information entered into HVACtrack should be accurate, business-related, and appropriate for customer service records.

Customer and Job Records

HVACtrack stores operational records such as customer contact information, service addresses, job status, parts activity, warranty details, technician scheduling, invoices, and notes.

Users should handle records according to company policy, customer expectations, and applicable legal or accounting requirements.

Invoices and Communications

Invoice and email features are operational tools. Users remain responsible for reviewing invoice details, amounts, customer information, and delivery status before relying on them for business decisions.

Customer communications sent through or based on HVACtrack should be limited to appropriate operational purposes.

Availability and Changes

Ciphered Realms, LLC may update, interrupt, limit, or modify HVACtrack as needed for maintenance, security, feature development, vendor changes, or business operations.

The business should maintain appropriate backup and fallback procedures for critical workflows.

No Unapproved Reliance

HVACtrack supports operational decision-making but does not replace professional judgment, management review, accounting review, legal review, or customer communication requirements.

Users should report suspected errors, missing records, access issues, or security concerns through the approved support path.

Updates to These Terms

These terms may be updated as HVACtrack, business operations, or legal requirements change. Continued authorized use after updates means users are expected to follow the updated terms.
